Cash Drawer Management

The Cash Drawer Tab allows you to take actions that require opening the cash drawer and managing cash for your business. To get to the Cash Drawer Tab, tap the Management Button on the Home Screen of your MaxxPAY app. You will be taken to a screen with Cash Drawer, Adjust Tips, and End of Day Tabs in the Top Navigation Menu. Cash Drawer will be automatically selected and you will see the five screen options you have for this tab: Summary, Cash In, Cash Out, Safe Drop, and Paid Tips.

X Report (Cash Drawer Summary)

This screen allows you to see an overview of all Cash Drawer actions that have taken place since the Register was opened. In the middle of the screen you will see a small rectangular panel for each action taken. Within each panel is the Date/Time the action was taken, the name of the employee who took the action, the action type (Cash In, Cash Out, Safe Drop, Paid Tips), and the amount of cash that was used for that action. For example, you might see that on 4/06/16 at 4:30 pm, Andy A. performed a Cash In action, adding $100 to the Register.

On the right side of the screen is the X Report based on all of the Cash Drawer actions listed in the center of the screen. You will see the total amount of cash used for each action and the total amount of cash that should currently be in the Cash Drawer. You can print a copy of the X Report by pressing the Print Report Button at the bottom of the X Report. This report will be printed on the Receipt Printer configured with the Register you are using.

Cash In

The Cash In Screen allows you to open the Cash Drawer for the purpose of adding cash to the drawer. A typical scenario for a Cash In is to replenish certain bill denominations or coins that are low or out. From a cash management perspective, the cash associated with the Cash In action is transferred to the given Register and is included in the deposit totals for that Register.

When performing a Cash In action, you are required to first enter the amount you wish to add to the drawer. On the number pad in the center of the screen, type in the amount of cash you intend to add to the drawer. You can also choose to enter a comment to provide more information about why the action is being performed. To do this, tap the text box below the cash amount; the app will bring up a keyboard for you to type in your comment.

After you have entered this information, the summary of the Cash In action will be listed on the left side of the screen. This includes the employee performing the Cash In, the amount of cash being put in, the Register the cash is being put into, and the reason for the Cash In, if any. To open the Cash Drawer and put in the cash, press the Open Drawer Button. Once you have finished inputting the information and have put the cash into the Cash Drawer, press the Save Button to save the action information. This will now be included in the X Report and you can view the record of the action on the X Report Screen.

Cash Out

The Cash Out Screen opens the cash drawer in order for you to remove cash from the drawer. Typical scenarios for a Cash Out would be petty cash purchases or moving money to another Register. For example, in a business with two Registers and two Cash Drawers, the manager may want to perform a Cash Out from one Register and Cash In to the other Register in order to facilitate operating both Registers. From a cash management perspective, ownership of the cash associated with the Cash Out is transferred from the given Register and is not included in the deposit totals.

When performing a Cash Out action, you are required to first enter the amount you wish to remove from the drawer. On the number pad in the center of the screen, type in the amount of cash you intend to remove from the drawer. You can also choose to enter a comment to provide more information about why the action is being performed. To do this, tap the text box below the cash amount; the app will bring up a keyboard for you to type in your comment.

After you have entered this information, the summary of the Cash Out action will be listed on the left side of the screen. This includes the employee performing the Cash Out, the amount of cash being taken out, the Register the cash is being taken out of, and the reason for the Cash Out, if any. Safe Drop

The Safe Drop Button opens the Cash Drawer so you can remove cash from the drawer in order to deposit it somewhere else, like a safe, without transferring ownership of the removed cash. A typical scenario where you would use the Safe Drop action is when the total cash in the drawer reaches the maximum upper limit according to your business practices. From a cash management perspective, ownership of the cash associated with the Safe Drop is not transferred from the given Register and is included in the deposit totals for that Register.

When performing a Safe Drop action, you are required to first enter the amount you wish to remove from the drawer. On the number pad in the center of the screen, type in the amount of cash you intend to remove from the drawer. You can also choose to enter a comment to provide more information about why the action is being performed. To do this, tap the text box below the cash amount; the app will bring up a keyboard for you to type in your comment.

This includes the employee performing the Safe Drop, the amount of cash being taken out, the Register the cash is being taken out of, and the reason for the Safe Drop, if any. It is important to note that the Open Drawer Button will be unavailable until you have entered a cash amount in the center of the screen. Once you have finished inputting the information and have removed the cash from the Cash Drawer, press the Save Button to save the action information. This will now be included in the X Report and you can view the action on the X Report Screen.

Paid Tips

The Paid Tips Button enables you to remove cash from the Cash Drawer in order to pay out credit card tips to your employees. On the Paid Tips Screen you will see a list of your employees in the center of the screen, with each employee in their own panel. Within each panel is the employee name, tip amount paid ($0.00 if no tips have been paid to that employee yet), and an icon that indicates if they have been paid or not.

To pay out tips to an employee, first find their name in the center of the screen and tap on their panel. Their panel will be highlighted and their Proposed Tip Total will appear above the number pad on the right of the screen. The tip total represents the sum total of all credit card tips for transactions where the employee was identified as the server. Using the number pad, enter the amount of cash you will be paying the employee. This amount may or may not be the full Proposed Tip Total for that employee. In all instances the amount you enter is simply the record of the cash being paid and removed from the Cash Drawer.

To remove the cash amount entered and pay the employee, press the Open Drawer Button. It is important to note that the Open Drawer Button will be unavailable until you have entered a cash amount in the center of the screen. Once you have finished inputting the information and have removed the cash from the Cash Drawer, press the Save Button to save the action information. The panel for the employee will be updated in the center of the screen; the amount paid will now be the total amount paid to that employee, and the icon will change from grayed out with a dollar sign in the middle, to green with a check. This activity will also be included in the X Report and you can view a record of the action on the X Report Screen.
